Additional tools for collaboration

Additional cloud-based digital collaboration tools offered to faculty, staff, and students. These include video conferencing tools such as Zoom and collaboration tools such as Mural and Mentimeter.

Administrative services for employees

Web applications for employees to view, change or execute administrative information and processes. These include matters related to personnel management, travel expense reports, and teaching admissions. The administrative services create a contemporary collaboration in the digital work environment, focusing on the usability and needs of the employees.

Business Consulting

Various consulting services for research and teaching. Business consulting includes, for example, the areas of accessibility, standards (ITIL), business analysis, or process consulting and modeling. With a focus on the diverse challenges of its customers, IT-SERVICES provides them with innovative IT services and thus promotes collegial cooperation across departmental boundaries.

Campus information

Digital signage screens display information using the web-based player software Grassfish. In Grassfish, users can create playlists/spots and display them on selected screens on campus. Content is categorized into general, departmental, and student information. RSS feeds from the Typo3 Web CMS can be integrated on the screens. 

Controlling and Business Intelligence

Analysis-oriented database for evaluating data from areas like teaching, personnel, research, and controlling. Evaluations are available to users via a user interface, and selected reports are sent to reporting-users by email.

Dynamics CRM

Customer relationship management software from Microsoft. Microsoft Dynamics CRM is a part of Microsoft Dynamics. The current version is Dynamics 365.

Microsoft Dynamics CRM enables customer relationship management, campaign management, and capturing customer interactions, among other things. The software optimizes business processes and connects customer data to build relationships, increase productivity, and improve customer interactions.

E-Mail

Part of the infrastructure operated by IT-SERVICES, which provides groupware functions in addition to email. The infrastructure supports communication and collaboration among employees by providing shared calendars, contacts and tasks, for example.

Event software

Central tool for event management (venue management), through which all bookings and service orders for events are recorded and managed. WU's Event Management is responsible for venue rentals and the organization of events, while IT-SERVICES provides support and advice on the planning and use of AV media technology.

Hosting & Datacenter

Multiple data centers and associated spaces at WU. These facilities form the basis of the campus-wide IT infrastructure and include server systems, network technology, telephone systems, etc. For central services at WU, a data center is operated that offers departments and institutes the possibility to set up and maintain their own server.

Jira & Confluence

Web applications used for collaboration, documentation, and knowledge management in departments, service units or projects (Confluence). Furthermore for project management and planning, software development (Jira Software), and for the central WU-wide Service Desk system (Jira Service Management).

 

Media equipment events

Media technology systems that are evaluated, planned and implemented in the event rooms. The AV media systems are centrally managed and continuously monitored. In order to optimally support event organizers, room adaptations, test phases, runtime-related component replacements and maintenance routines take place on an ongoing basis. Each equipped room should be easy to operate and suitable for individual event requirements.

Media technology systems that are evaluated, planned and implemented in teaching-, meeting- and project rooms, including the PC labs. In order to optimally support teachers, room adaptations, test phases, runtime-related component replacements and maintenance routines take place on an ongoing basis. Each equipped room should be simple and easy to use for the teachers.

Microsoft Online Services and Teams

Combination of an online service, an Office web application, and a Microsoft Office software subscription. Microsoft 365 offers users the ability to work and access stored data from any supported device, regardless of their location. Microsoft Teams is a platform that combines chats, meetings, notes, and attachments.

Network access

Maintenance and planning of the network for faculty, staff and students on campus and connectivity to the world outside. This includes the wired network at the workplace, as well as the wireless network (Wi-Fi) and the network access for server operation in the data center. The support includes administration, monitoring and troubleshooting of the networks.

OLE

Online Learning Environment that brings together several IT applications to handle digitized teaching. Central elements are the learning management system and the central media management. WU faculty and students should be able to experience and use the service as a unified platform.
The central objective of the service is the implementation and support of proper digitally supported teaching, study and examination operations.

Process and architecture management

Cloud-based tools available to WU faculty and staff for process and architecture management. These include the architecture management tool ADOIT (analysis, design, planning and implementation of enterprise architectures), the process management tool ADONIS (creation of business process diagrams and process maps), and the processing record Akarion Compliance Cloud.

Public devices

Public devices, such as the room booking displays next to the entrances of teaching rooms or the self-service terminals, that offer administrative services to students (e.g. printing of enrollment confirmations or transcipts, payment of tuition fees and Students' union (ÖH) dues, updating the date on the student ID card, etc.).

Research infrastructure

Various services, as well as a modern IT infrastructure, which support researchers in their daily work. The research infrastructure includes a computing and a cloud cluster with up-to-date CPUs, fast RAM, and GPUs for numerical calculations. In addition, separate storage systems provide secure and reliable access to research data.

Research management

Cloud-based research information and data management, as well as documentation system. WU's current research management system is easy and intuitive to use for both researchers and staff, has a high data quality and contributes to making WU's research achievements visible to the outside world.

SAP

Software for handling business processes. SAP is used at WU in particular for personnel administration, financial accounting, budget planning, controlling, and procurement management.

Security consulting

Consulting services regarding information security, organization and monitoring of vulnerability tests, vulnerability analyses, as well as various security trainings.

Storage & Filesharing

Storage and provision of all data accruing at the WU, which is backed by appropriate hardware or storage services. In addition to network drives and database hosting, IT-SERVICES also offers platforms such as Nextcloud for data exchange. Furthermore, backups ensure that data can be restored in case of loss.

Student Lifecycle

Data-oriented management of WU's student and teaching administration. Bach "Student Lifecycle" includes IT solutions regarding applications to study at WU, courses, curricula, mobility programs, exams and results management up to the completion of studies. Data of WU employees are recorded in the teaching and examination administration.

Studio Technology, Media Management & WUtv

Range of services along the "media lifecycle", such as (self-)production (video studios, equipment, know-how), processing (editing, post-production, encoding), media asset management and publishing (integration of audio and video in web portals, streaming) of media in audio, video and photo formats.

Support Client

Advice and support for WU employees in case of software and hardware problems. The IT Support Center processes inquiries regarding the systems used at WU over telephone and in-person. IT users at WU can also submit support requests online via the WU Service Desk (ticket system) or by email.

Support Events

Planning and organization of IT resources and IT infrastructure for events at Campus WU. Support includes provision, installation and maintenance of hardware and software, as well as planning and coordination of the logistical aspects of IT services, such as setup and removal of equipment, installation and configuration of IT equipment, and monitoring and maintenance of IT systems during the event (within current support hours).

Survey

Software for WU faculty, staff and students to conduct internal and external online surveys. The survey forms can be created and designed by the users themselves, and invitations to potential participants can then be sent out via email.

TYPO3 & Web

Website of WU Vienna, which serves as a communication and information platform for prospective students, students, employees and stakeholders with an interest in the university (e.g. sponsors). Employees can request access to the backend and manage content for which they are authorized.

Telephony

Management of landline and mobile telecommunication including mobile device management (MDM). Landline telecommunication covers the local telephone system including extensions, public door phones, voicemail, fax, hotlines, switchboards, and billing for call charges. Mobile telecommunication refers to mobile devices operating on Google Android and Apple iOS. MDM manages and configures secure access to WU data from business and private mobile devices.

WU account

Authentication and assignment of roles for various WU applications, e.g. the Controlpanel application, MS Teams and Roundcube. Individual WU accounts are created upon commencement of employment or admission (for students). At the end of employment or after graduation, WU accounts are deactivated and all associated access rights are suspended.

Workplace

Computer workstation equipped with end-user devices (notebook, monitor, docking station, keyboard, headset, etc.). Standard software is pre-installed on the end-user devices, access to the network, and the campus-wide available department printers is pre-configured. Necessary special requests for hardware and software are resolved on an individual basis. In teaching and learning environments, we provide teacher's PCs and several PC labs with pre-installed software.
